Data Cleanse For a Direct Mail Campaign

Created by Kelly Luff-Cooper, Modified on Wed, 18 Feb at 9:35 AM by Kelly Luff-Cooper

A data cleanse ensures that your customer or prospect mailing list is accurate, up-to-date, and compliant before you run a direct mail campaign. This step helps you reduce wasted spend on Return To Sender, protect your brand reputation, and ensure your communications reach the right people.

What is a Data Cleanse?

A data cleanse involves running your dataset through specialist industry databases to check for:

  • Deceased records – ensuring you do not send mail to someone who has passed away

  • Goneaway records – identifying addresses where the recipient no longer lives

  • Change of address records – updating your list with the recipient’s new address (where available)

This process helps:

  • Reduce costs by removing undeliverable mail

  • Protect your organisation’s reputation

  • Ensure your messages reach the correct people

What We Need From You

To get started, we’ll need:

  • The dataset you would like cleansed, or an idea of the segmentations you’d like us to use

  • Sign-off on the initial data handling fee

Costs Involved

Initial Handling Fee

There is a £400 data processing cost from Marketing Radar for the first file, then £100 for each subsequent file.

 This covers:

  • Running the initial processing of your data

  • Producing match rates (how many records fall into deceased/goneaway/change of address)

  • Returning full costs for your approval before continuing

Typical Match Costs

You are only charged if a match is found. Costs vary depending on the type of match. Below are the maximum per-match charges (we'll give you confirmed costs, these are to give an idea but may change):

Match Type

Cost per Record

Deceased

£0.60

Goneaway

£0.54

Change of Address

£0.47

Next Steps

  1. Share your dataset with us

  2. Approve the £400 data processing fee for the first file, and £100 for each subsequent file.

  3. We’ll process the data, provide you with match rates and the associated costs

  4. Once cleansed, we will upload this cleansed data
